Who runs Kilnbook
Kilnbook is made and run by one person, through my company Channel Blue AB (org.nr 559601-4653), Bygatan 7, 171 49 Solna, Sweden. Channel Blue AB is the data controller for the personal data described here. You can reach me at seb@kilnbook.com.
What is collected
When you sign in. Kilnbook uses Google sign-in only. Google gives me your email address, your name and a link to your Google profile picture, and Kilnbook stores all three. Kilnbook does not currently show profile pictures anywhere. When you first sign in, you choose the display name other people see; it starts as your Google name, and you can change it at any time.
What you add. The entries you create — titles, dates, firing details and notes — along with their glaze layers, the materials you record (glazes and clay bodies, including recipes and notes), the photos you upload, the display name you choose, and which libraries you belong to and in what role.
Invitations. Kilnbook is invite-only. To invite someone, their email address is stored on a list of permitted sign-ups, before they have an account.
Technical logs. The hosting provider records server logs, which include IP addresses, to keep the service running and secure. These are kept for up to 30 days.
Why it is used
- To provide Kilnbook to you: signing you in, storing your work and showing it back to you.
- To let you share a library with the people you invite.
- To keep the service secure and to fix problems.
Providing Kilnbook to you, and sharing what you choose to share, is necessary to deliver the service you signed up for (GDPR article 6(1)(b), performance of a contract). Technical logs and backups are kept because keeping the service secure and recoverable is in the legitimate interest of everyone who uses it (article 6(1)(f)).
Who can see your data
- Members of a shared library can see the entries, photos and materials added to it, and the display name of whoever added them.
- If someone copies one of your entries into another library, the copy credits you by display name, and that library's members can see it.
- Nobody else can see your display name. Other users can never see your email address.
Where it is stored
Kilnbook runs on two providers, both in Stockholm, Sweden:
- Supabase — the database, photo storage and sign-in, in the eu-north-1 (Stockholm) region.
- Vercel — the web hosting, in the arn1 (Stockholm) region.
Both are US-based companies, so your data could be accessed from outside the EU, for example when they provide support. Each acts as a processor under a data processing agreement with Channel Blue AB, and any such transfer is covered by the EU standard contractual clauses in those agreements.
Google handles sign-in under its own privacy policy.
What Kilnbook doesn't do
- No ads.
- Your data is never sold or shared with advertisers.
- No analytics or tracking tools.
Cookies
Kilnbook uses cookies to keep you signed in, and one more to remember the card size you pick for the pieces grid on that device. There are no advertising, analytics or tracking cookies, which is why there is no cookie banner.
How long it is kept
Your data is kept for as long as you have an account. When you delete it, your data is removed straight away, but copies can remain in the database's automatic backups for up to 7 days before those are overwritten. Backups are used only to recover from a failure. Photos are not included in backups and are gone as soon as they are deleted.
Your rights
Under the GDPR you can ask for a copy of your data, ask for it to be corrected or deleted, ask for its use to be restricted or stopped, and ask to receive it in a portable format. Email seb@kilnbook.com and I will respond within one month.
You also have the right to complain to the Swedish Authority for Privacy Protection (Integritetsskyddsmyndigheten, IMY) at imy.se.
Deleting your account
You can delete your account yourself, at the bottom of the Account page. It happens straight away and cannot be undone.
- Your name, email address and Google sign-in are deleted.
- Libraries only you belong to are deleted, with everything in them.
- For each shared library you alone own, you choose whether it is deleted or handed over to another member.
- Entries you added to libraries that live on stay there, credited to "Former member".
- You choose whether copies other people have made of your entries are removed, or kept and credited to "Former member".
Copies can remain in the database's automatic backups for up to 7 days, as described under "How long it is kept".
Changes to this policy
If this policy changes, the date at the top of this page will be updated. Significant changes will be announced by email or in Kilnbook before they take effect.
